About the Role at RobCo

The Role
In this key role, you act as the operational backbone of our Munich office, driving efficiency, structure, and seamless daily execution. You will take full ownership of our workplace environment, fleet operations, vendor management, and internal administrative workflows as we continue to scale rapidly. Your proactive, hands-on approach directly ensures our team has the support and infrastructure needed to build the future of industrial robotics.
Your Responsibilities
Drive Office Organization & Front Desk Management: Serve as the central point of contact for daily office operations, managing phone and mail communications, maintaining a representative environment, and coordinating cleaning teams and facility maintenance.
Automate & Lead Fleet Management: Oversee our entire vehicle fleet by managing leasing companies, vehicle acquisitions, and maintenance, while driving process automation using modern tools.
Manage Travel & Company Events: Plan and organize business trips, hotel bookings, and appointment scheduling, alongside organizing internal team gatherings, in-office events, and company-wide celebrations.
Office & Documentation Support: Serve as the on-site point of contact for invoice and documentation collection, checking cost centers, uploading physical invoices in our expense management system, plus occasional in-person support for signatures and NDAs.
Ensure Workplace Safety: Act as the designated safety officer, ensuring all health and safety regulations are strictly adhered to, monitored, and continuously optimized.
Coordinate External Vendors & Tradespeople: Actively manage third-party office service providers, building managers, and external suppliers to maintain smooth site operations.
Automate Operational Processes: Continuously evaluate internal administrative workflows, digitizing and streamlining manual tasks leveraging tools like Notion, Claude and Google Workspace.
We're looking for someone who has:
Completed vocational training or a degree in Business Administration, Operations Management, Facility Management, Hospitality or comparable experience.
Several years of experience in Office Management or Workplace Operations.
Strong track record in process automation and documentation tools to digitize operations like fleet management.
High proficiency with tools like Notion, Moss, and Google Workspace.
Willingness to work onsite at our Munich office 4-5 days (up to) a week (with up to 1 Home Office day per week).

Very good English skills and fluent German language skills (written and spoken) are required.
